District Operations Lead- Dartmouth, MA

POSITION PURPOSE:
The purpose of the District Operations Lead (DOL) is to ensure complete operational compliance within a specified region, as determined by the Regional Director and Vice President of Operations, ensuring maximized efficiency and profitability of the optical locations within their region.
The DOL will oversee operational excellence standards in the district and report directly to the District Manager, collaborating with the District Manager to ensure alignment on strategies, initiatives, and company directives.
The DOL will be based on-site, engaging in the day-to-day operations of the optical to ensure a hands-on understanding of current activity.
The DOL may work remotely at the discretion of the District Manager when necessary.
PRIMARY
Responsibilities:
oStrategize with the District Manager to ensure opticians are adhering to all insurance compliance requirements including proper documentation, order data entry, and billing.
oCollaborate with District Manager on roll out of any company initiatives and compliance with training directives.
oEstablish a routine cadence for working Aging Receivable reports for locations with excessive and/or old balances as determined by the District Manager.
Manage ESS Pending Needs shared sheet to ensure timely resolution of action items.
oPartners with assigned billers to ensure timely postingsoManage the Work In Progress report process within the region, determining which locations are non-compliant, and coaching the optical staff on best practices.
This includes applicable POS system Worklists, Vision Web WIP, and lab WIP, ensuring timely ordering and delivery of eyewear to patients.
oManage the frame switchout process when determined by the frame buyer; inspecting distributed tracking sheets, and following up on locations to ensure they are timely with their returns.
oManage the scheduling of the region's inventory as directed by the Company, working closely with the District Managers to ensure all locations have completed an accurate inventory as directed.
oEnsure compliance with all Company operational policies and procedures, including but not limited to:
oComplementary and Courtesy Eyewear Program oRefunds and Voids oWarranty and Remake orders oDiscountingoResponsible for conducting optician audits, as directed by the District Manager, to inspect operational accuracy.
Audit results will be shared with the District Manager, and the DOL will coach the optician on findings.
oWork closely with Business Development and Managed Care teams to understand opportunities for improvement within the operational scope of the optical locations.
oCoach and develop opticians on operational excellence standards.
oResponsible for covering offices as directed by the District Manager when there is a vacancy.
oTravel amongst locations is required as directed by the District Manager.
Qualifications:
o3
years of optical experience in a high volume or multi unit setting.
oBachelors preferred,oABO Certification and/or state optical licensure.
oExperience with an optical POS system.
oExperience with the optical billing process, payor portals, and sourcing remittance advice from the payor.
oExperience with the optical lab ordering process.
oExperience with the Aging Receivables process.
oExceptional communication and patient experience skills.
oExceptional professional relationship building skills Recommended Skills Auditing Billing Business Development Coaching And Mentoring Communication Courtesy Estimated Salary: $20 to $28 per hour based on qualifications.
